HELP & INFO

Sorry guys, here’s the boring bits. I’ve tried to be as accurate as possible, if you have any questions at all, please just ask.
Any work undertaken by ShotByLucy® are subject to the following terms and conditions:


Turnaround Times

All photo shoots are subject to a standard turnaround time of up to 7 workings days. It can be quicker and during busier periods time-scales may vary. Time scales will be confirmed when booking your photo shoot. Please also inform us prior to making your booking of any deadlines you have that you need the photographs for, so that we can try our best to accomodate.
(Timescales do not include weekends or bank holidays).


Returning Your products

Return postage is normally less than £10 to UK Mainland. For smaller/lighter parcels this is usually less. If you need your products back urgently, please advise at the time of booking as we cannot be held responsible for items arriving late for a specific requirement. When we return your items, we ensure that they arrive quickly and safely. We use UK Couriers and/or Royal Mail Recorded delivery services and you can track your parcel online at any time. Whilst in transit to our studio, products should be covered by the courier's insurance and it is the client's responsibility to ensure that the insurance is sufficient to cover the goods that are being transported.

When we return your items, if required, we will discuss insurance cover with you prior to arranging the return courier to ensure they are returned safely. Please inform us if you require additional coverage for higher value goods. We always return jewellery via Royal Mail Special Delivery which includes coverage up to £500. If you are shipping items of a higher value, a separate shipping quote will be supplied to ensure your goods arrive home safely. If there is nobody available to accept delivery, a card will be left for you to rearrange delivery. Please use the contact details on the calling card to rearrange delivery, or alternatively contact us and we’ll be happy to help.

You are also welcome to arrange your own courier collection if you prefer, please supply us with relevant parcel labels and just let us know when to expect collection.

Stock that is not collected within 3 months will be donated to charity. 


Insurance

Whilst we have your items at the studio, they will be covered by our insurance.


Pricing

We’re proud to offer high quality product photography at an affordable price. Our rates are subject to change at any time, but will never increase mid-project. It doesn’t happen often, but our rates do increase periodically. Unfortunately, we had to increase our prices on January 1st 2024 due to the cost of living, but our prices are still some of the most competitive you’ll find!


Paying For Your Photography

Once completed, we’ll invoice you for your photography via email. Low resolution, watermarked images will be supplied digitally in JPEG format for approval prior to making payment. Any amendments can be made during this time. Payment is due upon receipt of invoice and final high resolution images will not be released before full payment has been received. Use of our photography before settling your invoice is strictly prohibited.  Sorry! We accept payment by BACS and all payment details will be on your invoice. Our prices are all inclusive, so what you see is what you pay, no hidden extras. SWEET!


Receiving Your Images

We aim to upload your new photography within 48 hours of receiving payment. (Not including weekends though, we don’t like them). We’ll provide you with a Dropbox web link so that you can view/download them. Due to the large number of photographs we take, we do ask you to download and save a copy of the photos to your computer as we only keep client photography on our system for 12 months. This way, you will always have a copy safely stored on your computer.  Soon after, we'll post your products back to you. Images are supplied in JPEG format, should you require PNG files, please request them when you book your photo shoot as PNG’s can be done during the editing stage. Any PNG requests made after the editing stage can be completed but will be charged at our standard hourly rate.


Refunds

Low resolution images will be presented to the client for their approval before being asked to pay for them. Based on this approval system, we cannot offer refunds against our photographic images after the images have been approved and payment has been made.


BOOKING Cancellation

Where possible we ask that a minimum of 48 hours notice is given should you need to cancel a photography booking. We are extremely busy and when notice is given to us we are able to let another client book into the space that you no longer require. We wont charge you penalties for having to cancel because these things happen, but we appreciate a 'heads up'.
Missed bookings with no prior warning will be charged in full.


Photography Brief - HOW IT WORKS

STEP 1
Accept and confirm booking date via email.

STEP 2
Send an email brief detailing exactly what you’d like from your shoot. Draw some sketches of how you’d like your earrings positioning.
Send screenshots of how you saw some shoes styled. Share some moodboards. Get involved, share your ideas, because
it’s your shoot. It helps you, the client, to have your input of what you’d like to achieve and helps me, the photographer, to
create that vision for you. :)

Photography will commence once the client is happy with the terms of work to be carried out and this will be confirmed with a written agreement via email. Changes/additional requests made to original brief will delay original timescales and may incur additional charges. Your photography will be supplied fully edited. Dust/imperfections removed, colour enhancement/correction, full cleanup and cropped for web. For any additional editing work that exceeds the basic editing requirements, clients will be charged an hourly rate.  Our time is precious, if you book a shoot for a specific quantity of products, please inform us as soon as possible if the quantity is going to be different from originally stated.  A minor difference we can accommodate but if there is a significant difference in the quantity, we may not be able to meet the original deadline agreed.


Amendments

Once you have viewed your new photos, you may require some tweaks. This is absolutely fine and we aim to complete amendments within 48 hours, (working days only).  We’ll make any editing amendments free of charge.  However, where the brief has been adhered to and/or the client makes additional requests, these will incur an additional charge. If a photography brief has not been supplied, we assume that you would like us to choose the best way to photograph your products. We will use our own experience and creative flair to photograph your products how we see fit. Where a brief has not been supplied and alterations are requested after we have completed the photography, additional charges will be applied.  Please note that during busy periods, we may not be able to complete additional requests (outside of the original brief) until a later date.


Our Promise

We are confident that you will love your new product photos, but should you not be 100% happy, we’ll re-shoot them for free of charge. This doesn't apply to when we have adhered to the client's initial brief and the client has made alterations/changes to the brief after the photography has been completed. In this case, images will be re-shot but will incur an additional charge per item shot. Free re-shoot must be completed within the same booking and not requested on a later booking, otherwise the return-shoot will be charged at our current rate. All requirements should be clearly stated from the beginning, prior to work commencement.


Unpaid Invoices

If payment is not made by the due date an additional charge of £5 per day will be added to the total amount due for each day that the invoice remains unpaid.


Copyright

We retain Copyright of all imagery supplied, but we give you permission to use the images for advertising, brochures, magazines and web use. We don't limit your usage to specific time-scales, once you have paid for them they are your images to use. You are not permitted to alter or edit our original photographic images in any way and reselling of our images to third parties for their own business use is strictly prohibited. We understand it isn't always possible to give credit in printed publications however, we do ask that when your photo is featured/published in the press that you let us know, so we can give you a shout out and update our portfolio. We also appreciate shoutouts on the socials! Tag @ShotByLucy and the hashtag #shotbylucy.


If you've been featured in the press using our product photography, we'd love a copy of the article!


Force Majeure

ShotByLucy® shall have no liability to the client if it is prevented from or delayed in providing its service by acts, events, omissions or accidents beyond its reasonable control, including failure of a utility service or transport network, act of God, war, riot, civil commotion, malicious damage, compliance with any law or governmental order, rule, regulation or direction, accident, breakdown of plant or machinery, fire, flood, storm or default of suppliers or sub-contractors.


Social media

We may share photos that we have taken for you on our social media platforms. By using our service, you are agreeing to this. If your products are confidential right now, please let us know prior to the shoot and we'll keep things hush hush!  Clients are responsible for advising if they do not wish for us to promote their new photography on social media yet.  We cannot be held responsible for damages where the client hasn't made this clear via email.


Newsletter

When you contact ShotByLucy®, you give permission to be added to our mailing list.  It's sporadic, we don't send them often so you wont be bombarded, but it allows you to keep up to date with our latest news, offers and discounts.  If you receive our newsletter and would prefer not to, you can unsubscribe at any time by following the instructions in the email footer.


Advertising

Any photographs taken by ShotByLucy® may be used in our own advertising.  This includes printed material as well as digital and social media.  Where our photography surfaces have been used, we may also use your photographs for advertising on our sister company The Phormery website, printed material and social media platforms.
